Meridian Anesthesia Management, LLC (“we,” “us,” or “our”) operates the Equinox Anesthesia platform, including the web application at platform.meridiananesthesia.com and the Equinox Anesthesia mobile application available on Apple iOS (collectively, the “Platform”).
This Privacy Policy describes how we collect, use, disclose, and protect the personal information of anesthesia providers, administrative staff, and other authorized users (“Users”) who access the Platform. By using the Platform, you agree to the practices described in this policy.
1. Information We Collect
a. Account & Profile Information
- Full name, email address, and phone number
- Professional credentials (e.g., CRNA, MD, AA designations)
- NPI number and state license information
- Facility and group assignments
- Profile photograph (if uploaded)
b. Scheduling & Operational Data
- Work schedules, shift assignments, and availability preferences
- Time-tracking entries (clock-in/clock-out, case logs)
- Vacation and time-off requests
- Coverage requests and shift-swap history
c. Device & Technical Information
- Device type, operating system, and app version
- Push notification tokens (for delivery of schedule alerts)
- IP address and browser/user-agent information
- Authentication tokens and session identifiers
d. Communications
- In-app messages sent between providers and administrators
- Notification preferences and delivery history
2. How We Use Your Information
We use the information we collect to:
- Provide, maintain, and improve the Platform and its features
- Create and manage your user account and authenticate your identity
- Generate and distribute provider schedules and assignments
- Process time-tracking data for payroll and compensation reporting
- Send push notifications and alerts about schedule changes, shift offers, and messages
- Facilitate in-app messaging between authorized users
- Generate operational reports for facility administrators
- Comply with applicable healthcare regulations and contractual obligations
- Detect, prevent, and respond to security incidents or unauthorized access
3. How We Share Your Information
We do not sell your personal information. We may share your information with:
- Your Employing or Contracting Organization: Schedule data, time entries, and availability are shared with the anesthesia group or facility that manages your assignments.
- Facility Administrators: Authorized facility staff may view scheduling, staffing, and operational data relevant to their location.
- Service Providers: We use third-party services to operate the Platform, including Supabase (database and authentication), Vercel (hosting), Apple Push Notification service (notifications), and Resend (transactional email). These providers process data only on our behalf and under our instructions.
- Legal Compliance: We may disclose information when required by law, regulation, legal process, or enforceable government request.
4. Data Security
We implement industry-standard technical and organizational measures to protect your information, including:
- Encryption of data in transit (TLS/HTTPS) and at rest
- Role-based access controls and row-level security policies on all database tables
- Secure authentication with support for biometric login (Face ID / Touch ID)
- Regular security audits and access reviews
- Automatic session expiration and token rotation
While we strive to protect your information, no method of electronic transmission or storage is 100% secure. We cannot guarantee absolute security.
5. Data Retention
We retain your personal information for as long as your account is active or as needed to provide the Platform services. Scheduling and time-tracking records are retained for a minimum of seven (7) years to comply with healthcare industry record-keeping requirements. When data is no longer needed, we securely delete or anonymize it.
6. Your Rights
Depending on your jurisdiction, you may have the right to:
- Access the personal information we hold about you
- Request correction of inaccurate information
- Request deletion of your personal information (subject to legal retention requirements)
- Opt out of non-essential push notifications through your device settings
- Request a portable copy of your data

7. Push Notifications
The Equinox Anesthesia mobile app uses Apple Push Notification service (APNs) to deliver schedule alerts, shift offers, and messages. You may disable push notifications at any time through your device’s Settings app. Disabling notifications will not affect core Platform functionality, but you may miss time-sensitive schedule updates.
8. Biometric Authentication
The app supports Face ID and Touch ID for convenient login. Biometric data is processed entirely on your device by Apple’s Secure Enclave and is never transmitted to or stored on our servers. We only receive a success/failure confirmation from the device’s biometric system.
9. Children’s Privacy
The Platform is designed for licensed healthcare professionals and is not intended for use by individuals under the age of 18. We do not knowingly collect personal information from children.
10. Changes to This Policy
We may update this Privacy Policy from time to time. When we make material changes, we will notify affected users via in-app notification or email. The “Effective Date” at the top of this page indicates when the policy was last revised. Continued use of the Platform after changes are posted constitutes acceptance of the updated policy.
